Working a Step Basics: Collect and Verify

How steps are organized & how to work through Collect and Verify tabs

Every seller or buyer deal consists of a sequence of steps, grouped into phases that carry you from a brand-new deal to closing. This article explains how steps are organized and how to work through the critical Collect and Verify tabs.

Step Workspaces

Most step workspaces share the same tab set: Collect, Verify, Message, and Automate. (A few steps omit the Verify tab because nothing requires sign-off).

Most of your work happens in the Collect and Verify tabs, so once you understand the Collect/Verify rhythm, you'll know how to work the whole workflow.

The Collect Tab

Collect is where you manually enter or use AI extraction to populate a step's information. The content collected on Collect tabs adapts to the step and is organized into panels you can toggle:

  • Fields: The step's form (dates, dropdowns, amounts, free text). Use Save Changes after editing.
  • Items: The step's list, where a step tracks a set of things (walkthrough areas, media links, documents). Items can be added, edited, and removed individually.
  • Photos: Whenever a step carries imagery (e.g., Property Data).
  • Comments: A running comment thread on the step, for notes that don't belong in a field.

Which panels appear depends on the step.

Note: You don't have to finish a step in one sitting. Return to it anytime from the Deal Progress rail.

The Verify Tab

Verify is the review pass, and it works field by field. Toggle between the Step Fields and Step Items panels to see everything the step collected in a table: each row shows the data point, its value, a Verified? toggle, and the merge variable that carries this value into your emails (e.g., ).

Flip the Verified? toggle on each row of data you've confirmed.

Verification matters for two reasons:

  • Downstream Use: The merge-variable column makes it concrete: these exact values will flow into your messages and automations. Verifying catches errors before they propagate.
  • A clean Record: A verified item carries its confirmation, so the deal file shows what was checked, not just what was typed.
Step Status and Completion

The step header carries a status pill (In progress, Overdue, Complete, and so on) with a dropdown to set it. Work Collect until everything the step asks for is entered, confirm it under Verify, then set the step complete. The Deal Progress rail and the phase tracker will update to match.

Tips
  • The step header's Start and Due dates drive the Overdue status, so set them realistically when you plan the deal.
  • If a field doesn't apply to your transaction, it's fine to leave it blank.
  • The Message and Automate tabs sit right there on every step. When a step ends with "send this to the client," you don't have to leave the step to do it.
