Sending Emails: Manual Communications
Create and send individual emails. Email templates make it easy.
Before You Start: Connect Google
Sending requires your Google Workspace connection; see Connecting Google Workspace to ListedPro. Messages send from your own Gmail address, so replies land in your regular inbox.
This article focuses on sending individual, manual communications. See Sending Automated Communications for how to send routine deal communications automatically.
Where to Compose- From a step: Every step workspace has a Message tab, toggled between Email content (the composer) and Send history.
- From the deal's Messages view: The deal-wide hub shows every email on the deal and let’s you compose new messages.
- Choose a starting point: Blank, Template (one of your template's prepared emails), or AI prompt (draft with AI assistance).
- Address it: Type into the Recipients field, or click the Suggested chips: the deal's people with their roles (Seller (primary), Client, Lender, and so on) are offered one click away. + Cc / Bcc expands the extra fields.
- Write the subject and message: The editor supports rich formatting (bold, italic, underline, lists, links), and when you have a signature stored in your settings it's appended to sends.
- Drop in merge variables: Use {} Insert variable in the toolbar, or the Merge variables rail beside the composer: the deal's data grouped by step (Listing, Property Data, Walkthrough, and so on), searchable, with a field count per group. Click any field to drop it into your draft; it fills with the deal's actual value at send time.
- Send: The message goes out through your connected Gmail.
The Send history view lists every email sent from the deal: subject, recipient, date, and a Sent or Failed status (failed rows show the error). The step's Message tab shows the step's history with a count; the deal's Messages view covers the whole deal. If sends are failing, check your Google connection on the Connect page.
Tips- Template emails arrive pre-written with merge variables already placed. They're the fastest path to consistent client communication. See Workflow Templates: Creating & Using.
- The merge-variable paths you see in the composer are the same ones shown per data point on each step's Verify tab: verified data in, accurate emails out.
- For messages that should send themselves as the deal progresses, use automations instead; see Sending Emails: Automated Communications.
