Navigating Your Listings and Buyers Dashboard

The Listings and Buyers dashboard is your main pipeline view in ListedPro. From here you can see all of your active listings and buyer opportunities at a glance, track progress, set priorities, and quickly add new records. This article covers the layout of both views, what each element means, and how to create a new listing or buyer.

Switching Between Listings and Buyers

At the top of the screen, you'll see two tabs: Listings and Buyers. Click either tab to switch between the two views. Both views share the same layout and toolbar — the only difference is the type of opportunity they display.


The Toolbar

At the top of both views, you'll find a toolbar with search, sort, and action controls.

Search Use the Search bar on the left to find a listing or buyer by name. The list filters in real time as you type.

Sort By The Sort By icons let you reorder your list. There are five options:

  • ⚡ Lightning bolt — Shows records marked as Active first
  • 🚩 Flag — Shows flagged records first
  • ⭐ Star — Shows starred records first
  • A–Z icon — Sorts alphabetically by name
  • 📅 Calendar icon — Sorts by most recent activity

Action Buttons On the right side of the toolbar you have two buttons:

  • + Add Listing (or + Add Buyer) — Opens the new opportunity wizard
  • Templates — Takes you to the template manager where you can view and edit your listing and buyer templates

Reading a Listing Card

Each listing appears as a card in the list view. Here is what every element means:

Name — The listing's display name, shown in bold at the top of the card.

Age indicator — How many days old the listing is (e.g., "91 days old"), shown in the top-right corner of the card.

Thumbnail — A photo of the property. A placeholder icon displays if no photo has been added.

Price and Address — The list price and full property address, with the seller's name shown beneath.

Latest Headline — A team-facing note showing the most recent update on this listing. Anyone on the transaction can leave a note here.

Progress — A color-coded bar showing the status of every step across the listing workflow. The numbers above the bar show task counts per step category. Green = complete, amber = in progress, red = overdue or at risk, grey = not started.

Next Critical Date — The next upcoming deadline for this listing. Shows "No upcoming Critical Dates" if none have been set.

Priority — Set the urgency level for this listing (e.g., High, Medium, Low) using the dropdown.

Listing Status — The current stage of the transaction (e.g., Active, Under Contract, Canceled). Set via dropdown.

Lead Agent — The team member responsible for this listing. Assignable from a dropdown.

Tags — Custom labels you can add to help categorize and filter listings. Click + Add to create a tag.

Quick-action icons — Located in the top-right corner of each card:

  • ⚡ Lightning bolt — Marks the listing as Active
  • 🚩 Flag — Flags the listing for attention
  • ⭐ Star — Stars the listing

💡 Tip: The numbers on the progress bar reflect tasks that have been created for each step. A step showing "0" means no tasks have been added there yet — it does not mean the step is complete.


How to Add a New Listing

Adding a new listing takes three steps.

Step 1 — Click + Add Listing From the Listings view, click the + Add Listing button in the toolbar. A modal window will open.

Step 2 — Property Details (Step 1 of 3) Enter the Property Name — this is how the listing will appear in your dashboard (e.g., "Murphy Residence"). Then enter the full Property Address. Click Next Step.

Step 3 — Seller Details (Step 2 of 3) A template will be pre-selected (e.g., "ListedPro – Seller – Default"). Click Change if you want to use a different template. Then enter the seller's First Name, Last Name, Email, and Phone. Click Next Step.

Step 4 — Confirm & Complete (Step 3 of 3) Review a summary of everything you entered. Use the pencil icon next to any section to go back and make edits. When everything looks correct, click Save Listing.

Your new listing will be created and you'll be taken directly into the listing detail page.

💡 Tip: The Property Name doesn't have to be the full address. Many agents use a shorthand like "Jones Family Home" so it's easy to recognize at a glance in the dashboard.

📌 Note: Templates control which automated emails and task steps are attached to a listing. If you haven't customized templates yet, the default is a great starting point. You can manage templates at any time from the Templates button in the toolbar.


The Buyers View

Click the Buyers tab at the top to switch to the buyer pipeline. The layout is identical to the Listings view — same search bar, Sort By icons, and action buttons — with + Add Buyer and Templates in place of their listing equivalents.

How a Buyer Card Differs from a Listing Card

Because buyer opportunities are not yet tied to a specific property, the buyer card shows slightly different information:

  • Opportunity Name — The label you created for this buyer (e.g., "Jones family home")
  • Client info — The buyer's name, email, and phone (instead of a property address)
  • Budget — The buyer's estimated purchase budget
  • Target Down Payment — The buyer's planned down payment amount
  • No property thumbnail or address is shown

All other fields — Latest Headline, Progress, Next Critical Date, Priority, Status, Lead Agent, Tags, and the quick-action icons — work exactly the same as on a listing card.

How to Add a New Buyer

Adding a buyer follows the same three-step process as adding a listing, with a few different fields.

Step 1 — Click + Add Buyer From the Buyers view, click the + Add Buyer button to open the wizard.

Step 2 — Buyer Profile (Step 1 of 3) Enter a Buyer Opportunity Name — this is just a label for your pipeline, not a property address (e.g., "Jones Family Home"). Then enter the buyer's Estimated Budget and Target Down Payment. Click Next Step.

Step 3 — Buyer Details (Step 2 of 3) Select a template (e.g., "ListedPro – Buyer Contact – Default") and add the buyer's contact information. You have two options:

  • Add New Contact — Enter the buyer's first name, last name, email, and phone directly
  • Existing Contact — Select a contact you've already worked with in ListedPro

Click Next Step when done.

Step 4 — Confirm & Complete (Step 3 of 3) Review all entered details. Use the pencil icon to make any edits. Click Save Buyer to create the record.

Your new buyer opportunity will appear in the Buyers list view, ready for you to begin managing their transaction.

💡 Tip: If you've worked with this buyer before in ListedPro, use the Existing Contact option to pull their information automatically. This keeps your contact database clean and avoids duplicates.


Managing Templates

Click Templates from either the Listings or Buyers view to access the template manager. From here you can view, edit, and organize your Listing Templates and Buyer Templates — the sets of automated emails, tasks, and critical dates that are applied when a new opportunity is created.
