Seller & Buyer Deal Workflow Basics
Understanding phases & steps in deal workflows
Seller and buyer deal workflows are at the heart of ListedPro. Every deal is a sequence of steps, grouped by phases, carrying you from a brand-new deal to closing. This article explains how it's organized and how to move through it.
The Listing (Seller) Workflow
A seller-side deal runs ~20 steps across these six phases:
- Property: Property Data, Walkthrough, Comparables.
- Listing: Home Tasks, Net Calculator, Listing Agreements, Multimedia, Seller's Disclosure.
- Offers: the Offers step, where the contract is captured.
- Transaction: Expenses, Contract Documents, Inspection, Appraisal, Survey & Title.
- Pre-close: Closing Readiness, Distribution Auths, Client Tasks, Agent Tasks.
- Close: Agent Checklist.
The Buyer Workflow
A buyer-side deal opens with two phases of its own: Engagement (Buyer Agreement, Consultation, Pre-Qualification) and Discovery (Client Preferences, Search Listings, Scheduling, Favorites). It then joins the shared flow at Offers and runs the same Transaction, Pre-close, and Close phases.
The Deal Header and Tracker
The top of every deal shows the property (photo, address, contacts, tags), the deal's critical dates, its status, and its list price. Beneath the header, the step tracker runs the full workflow as a strip of icons (the same tracker that appears in miniature on the dashboard card), and clicking an icon navigates to that step.
The Execute View and Deal Progress Rail
The deal's Execute view is the workflow itself. The Deal Progress rail on the left shows your completion count (e.g., 8/19) and lists each phase with its own progress (Property 1/3, Listing 5/5, and so on). Expand a phase to see its steps, and click a step to open it.
The Step Workspace
Selecting a step opens its workspace:
- The step header: the step's name and phase, its Start and Due dates, its Owner, and a status pill (e.g., In progress, Overdue) you can set from its dropdown.
- Tags: freeform labels you can add to the step.
- The step tabs: Collect (enter the step's information), Verify (review and confirm it, field by field; a few steps omit this tab), Message (send email from within the step), and Automate (the automation rules tied to this step). See Working a Step: Collect and Verify.
Deal-Wide Views
Alongside Execute, companion views aggregate across the whole deal: Messages (every email), Automations (every rule), Documents (every file), Critical Dates (every deadline), Contacts (the deal's people), and Workspace (the deal's freeform notes, tasks, and checklists).
